How to Organize UGC Deliverables, Revisions, and Deadlines

The short answer

A UGC deliverables tracker lists each asset as its own line with draft due, revision limit, final due, live date, and current owner (you or the brand). Treat revisions as scheduled work, not open-ended favors.

If deliverables live only as a paragraph in the brief, deadlines will blur as soon as feedback arrives in three different channels.

Where deliverables go messy

Brands ask for two Reels and three stills. Then comes a caption tweak, a new hook, a logo end card, and a second round of notes from legal. Without a tracker, every change feels equal, and the live date quietly moves.

  • Revision rounds not defined in the agreement.
  • Feedback arriving in email, Slack, and DMs for the same asset.
  • No distinction between draft due and live post due.
  • Final files sent without storing proof URLs.

Set up a deliverables tracker

  1. Break the brief into discrete deliverables: Reel 1, Reel 2, static 1, and so on.
  2. Assign draft due, brand review window, final due, and live date to each line.
  3. Cap included revision rounds in writing, then log every round used.
  4. Centralize feedback into one thread or note field on that deliverable.
  5. Do not start round two until round one notes are complete.
  6. On live day, save proof URL and move the deliverable to Done.

This sits inside your wider UGC deal tracker and matters even more when you manage multiple UGC deals.

Deliverable line template

Single deliverable row

Deal: Glowform Jun campaign
Asset: Reel A - morning routine hook
Draft due: Jun 18
Review window: Jun 19-20
Revisions included: 2
Revisions used: 1
Final due: Jun 22
Live date: Jun 25
Owner: Brand (waiting on legal notes)
Proof URL: -

Common mistakes

  • Accepting unlimited revisions to seem easy to work with.
  • Editing from incomplete feedback while more notes are still coming.
  • Tracking only the live post date and ignoring draft deadlines.
  • Mixing three assets into one status update.
  • Posting without saving the live URL on the deliverable row.

Make every asset dated and owned

A UGC deliverables tracker turns vague campaign scope into dated lines with clear owners. That is how revisions stay bounded and live dates stay honest.

Reanroom keeps deliverables and deadlines on the deal record so feedback and due dates stay attached to the work. Continue with the UGC creator business workflow.
